Running your business on Befundo
From creating the business to taking a register. Everything here describes what the product does today — where something isn't built, it says so.
Setup and onboarding
Getting from a signed-up account to a business that can list classes.

Sign up as an adult
Befundo asks one question at sign-up: whether you're an adult or a child. Pick adult. There is no separate “business” account type — one account can take classes, manage children and run a business at the same time, in any combination.

Create the business
Go to Account → Your businesses → Create, or open Create a business directly. You become its admin. A business can have any number of admins and instructors.

Set your time zone — this one matters
You're asked for this when you create the business, prefilled from your browser — change it if your classes run somewhere else. It decides two things: whether your class schedules become meetings at all (without it there's no attendance, no notes and no reminders), and what families in other time zones see — an online class shows each family its own clock, with yours beside it.

Fill in the rest of the profile
Description, contact email and phone, and address. The address feeds the map on your class listings; online classes never appear on the map.

Publish a landing page
Business → Landing page gives you a public page at your own slug: a tagline, an about section, photos and a cover image. It stays unpublished until you say otherwise, and it goes dark again if you archive the business.

Add photos
Up to 12 business photos and a cover image, uploaded straight from the browser. Location data is stripped from every image before it is stored.

Collect reviews and testimonials
Business → Reviews shows what families have written and lets you reply once to each. Only families who actually attended a class can review you — that's enforced, not a policy. Testimonials are the ones you choose to feature on your landing page.

List classes on the marketplace
A class appears in the marketplacewhen it is active and listed. Families filter by category, age, format and distance. Unlisted classes still work normally — they just aren't discoverable, which is what you want for a class that's full or invitation-only.

Bringing classes you already run
If your classes and students live in a spreadsheet, don't retype them. Classes → Import from a spreadsheet takes the file as it is — press Match my columns and Befundo works out that “Kid” is a name and “$/mo” is a price. You see everything it will create before anything is created. Classes first, then students, because the student file names its classes.

Add a class
Business → Classes → Add. Name, category, age range, price and format (in person, online or hybrid). Online classes get a Befundo video room; in-person ones show a location instead.

Give it a schedule
How often it repeats, which days, start and end times, and a start date. This is required — it's what puts the class on families' calendars and creates the meetings you take attendance against. An end date is optional; a class can run until you say otherwise.

…or say it has no fixed schedule
For a tutor who arranges times with each family, tick No fixed schedule. Be aware of the trade: the class appears on nobody's calendar, and you add each meeting by hand. That's deliberate — inventing a fictional Monday 4pm would be worse data than none, because families would turn up.

Describe what it covers
“What you'll learn”, “Course includes” and “Requirements” appear on the public listing. The course content builder underneath lets you lay out modules and the items inside them — a syllabus families can read before enrolling.

Finish a class when it's over
Mark complete takes it out of the marketplace and out of families' class lists, without deleting anything — the board, roster, notes and attendance all survive. You can reopen it, and it comes back on hold and unlisted so it doesn't quietly start taking registrations again.

Families register themselves
From a class listing, a parent enrols a child or themselves. You get a notification. Business → Students lists everyone across all your classes.

Or invite them
Invite a student by email from the class page. They get a link that enrols them when accepted. Useful when you've taken the booking over the phone.

Set capacity and a registration deadline
Optional on each class. Once capacity is reached, registration closes automatically.
Instructors
Adding the people who actually teach.

Invite an instructor
Business → Instructors → Invite, by email. They accept from their own account. An invitation notification can't be switched off, so it never gets stranded.

Assign them to classes
A class has one assigned instructor. That assignment decides whose dashboard it appears on, and who can edit it — an instructor sees only the classes assigned to them, while you as admin see everything the business runs.

Know what instructors can and can't do
They can post on any of your class boards, take attendance, run sessions and write up meetings. They cannot reach the business area at all — pricing, billing, the landing page and the student list are admin-only. Editing a class is limited to its assigned instructor or an admin.

Meetings appear from your schedule
Once the class has a schedule and your business has a time zone, Befundo creates a meeting for each occurrence. They show on the class page, with a full history under View all.

Add a one-off
Add on the meetings card creates an extra meeting — a catch-up, a recital, a trip. Tick Meet online to give it a video room even if the class normally meets in person. This is also the only way to add meetings to a no-fixed-schedule class.

Start a live session
Press Start on an online meeting. Families see “Live now” and a Join button, and get a notification with a link straight into the room. You can open the room at any time to set up — only pressing Start tells the class.

End it when you're done
End closes the session. A started session stays joinable until you end it, so a class that overruns doesn't lock anyone out; if you forget, it closes itself after twelve hours.

Take the register
Open a meeting and mark each student present, late or absent. For online meetings the video call pre-fills it — including how long each person was on the call — and you can override anything. Families see only their own children's attendance.

Write it up
Add notes, material and homework to a specific meeting. Families are notified the first time you write notes on a meeting. Material can be a link or an uploaded file — PDF, image or MP4.

Cancel or move a meeting
Both tell everyone in the class, including parents. Cancelling asks for an optional reason and can be undone; the meeting stays on the page marked cancelled, with its notes and attendance, so families can see the class isn't running that day.
Money
What Befundo tracks, and what it deliberately doesn't.

Befundo does not process payments
Families pay you however they already do. Nothing here moves money, and marking something paid is a record you keep, not a transaction.

Track what's due
Business → Payments shows what each family owes across every class, worked out from each class's price and payment schedule. Per-session classes aren't tracked — they read as “not tracked” rather than settled.

Adjust for one student
Override a rate for a family, or set it to zero for a scholarship. You can also set a date to start tracking from, so switching Befundo on doesn't invent months of historic debt.

Families never see a balance
Deliberately. Befundo isn't party to the payment and can't verify it, so it won't chase a parent over money it knows nothing about. Payment reminders go to you.

Recaps turn a live session's audio and chat into a written summary you review before publishing. Off by default, only available for classes that meet online, and every family consents separately before their child is recorded.
