Bring your students over from Excel or your old system

You don't need to type your families in again. If you have a list anywhere, you can bring it over in about ten minutes: save it as a CSV file, match its columns to Befundo's, and send the invitations.
The quick answer
- Save your list as a CSV file. Every spreadsheet and most class apps can.
- Only two columns are required: the class name and the parent's email.
- Match the columns by renaming them, or press Match my columns and let AI suggest the matches for you to check.
- Nothing happens until you confirm. You see every row first, and families are invited, never enrolled.
Step 1: Get your list out as a CSV
A CSV file is a plain spreadsheet that any system can read. Where your list lives decides how you save it:
- Excel: open the file, choose File, then Save As, and pick CSV (Comma delimited).
- Google Sheets: choose File, then Download, then Comma-separated values (.csv).
- A class or studio app: look for Export or Reports and download your students or contacts as CSV. Most apps have one.
- Only in your phone or your inbox: start a new sheet with two columns, the class and the parent's email, and fill it in once. It is the last time you'll need to.
Step 2: Add your classes first
Every student row names a class, so the classes need to exist first. Add them in the setup wizard's Your first class step, or import them from a spreadsheet the same way. Set up your business in one sitting walks through it.
Step 3: Check the columns
Befundo's student import reads these columns:
- class_name (required): must match one of your classes exactly.
- parent_email (required): the invitation goes here.
- parent_first_name and parent_last_name: only if the parent is new to Befundo.
- student_first_name and student_last_name: optional, shown to the parent as a suggestion.
- student_email: optional.
Extra columns are fine; they're ignored. One row per student per class, and up to 200 rows at a time.
Step 4: Match the columns, by hand or with AI
Open your business's Classes, press Import from a spreadsheet, choose the Students tab, and upload or paste your file. If your column names are different, there are two ways to line them up:
- By hand: rename your columns to the ones above before you upload, or download Befundo's template and copy your data into it.
- With AI: press Match my columns. Befundo suggests which of your columns is which, like "Parent e-mail" to parent_email, and marks any match it is unsure of. Check each one before you go on.
To make its suggestions, Match my columns sends your column names and your first three rows to our AI provider. If you'd rather no rows leave the page, match the columns by hand instead.
Step 5: Check the rows, then invite
Press Check the rows. Befundo shows what would happen to each one: ready to invite, already in the class, or something to fix, such as a class name that doesn't match. Fix those in your file and check again.
When it looks right, press Invite. Each family gets an invitation, chooses who is attending, and accepts. Nobody appears on your class list until they do.
A word on other AI tools
It can be tempting to paste a messy list into a general AI chat to tidy it up. That shares your families' names and emails with another company, outside anything you've told them. If you do, remove the names and emails first, or tidy only the column headings.
